EXECUTIVE ASSISTANT ? part time

Coordination of new projects and supporting operations of Franchise Stores

This is a rare opportunity to work for a Company that has established a highly successful chain of Optometrist stores and more are planned for development in Western Australia. They are also in the final stages of planning their expansion into the Eastern States and their projected growth for the next 5 years is significant.

The Managing Director (MD) leads all negotiations with new Franchisees. The Executive Assistant (EA) will, on behalf of the MD, coordinate and monitor the entire development process of new stores and their launch.

Offices are based in North Perth alongside a vibrant caf? strip. The office environment and culture is relaxed in its style but also upbeat and dynamic too. Their mission is to deliver high quality stores and services to Franchisees and do so with an emotive and professional manner.

The Position

The person will have a close working relationship with the MD who will map out all the functional requirements and outcomes expected. Whilst the MD will direct the person day to day, they will be required to work autonomously and with little supervision. The MD?s nature is to allow the person to use their own initiative to handle matters and issues with little interaction. That is, they will not be micromanaged.

The Role Is Varied And The Main Focus Is

Contract documentation, contractors? store fit out and Franchisees
  • Coordinate and monitor the timely signing of contracts.
  • Liaise with contractors to ensure the fit out of stores is according to schedule.
  • Communicate progress of works to Franchisees.
  • Report contractual issues to the MD.
Launch of new stores
  • Produce an operational readiness plan for each store.
  • Ensure the store is stocked and functional.
  • Coordinate the recruitment and training of staff.
  • Work closely with the new Franchisee during the opening weeks.
Operational support
  • Provide ongoing support to Franchisees according to the franchise agreement.
  • Learn and develop a working knowledge of store operations.
  • Assist with developing store policies and procedures.
  • Coordinate the timely scheduling of Locum Optometrists and Staff for Corporate Stores.
Marketing and strategic projects
  • Assist with the development of marketing materials.
  • Respond to queries from potential Franchisees on behalf of the MD.
  • Ensure the company?s brand is enhanced and not compromised.
  • Be a key driver of the MD?s strategies and projects by providing executive support.
The Person

To be successful in this role, it is expected that you are a well-rounded EA who has extensive relevant experience and have worked in a multifaceted role that has challenging priorities with competing timelines.

It is expected that you have a certain style and presence compatible for such a role and your written and verbal communication skills are of a high level.

The successful candidate will be self-motivated, super-organised and have an eye for quality and innovation. Running the business with the MD as if it is your own will appeal to those who have the dynamics and motivation to succeed in such a role.
